Why Tracking Stops Updating: A Cross-Border Shipping Troubleshooting Guide
Diagnose stalled China shipping tracking through labels, first scans, handoffs, customs and delivery exceptions, with escalation and customer update templates.
By BiaoJu Editorial Team · · 10 minute read
If tracking for a shipment from China stops updating, first establish the last confirmed physical event and which company controlled that stage. Then check the correct carrier portal and ask that company a specific question about the next handoff. An unchanged tracking screen alone does not prove a parcel is lost, moving normally or held in customs. The right response depends on whether the shipment has only a label, has been accepted, awaits clearance or has reached the delivery network.
Build an evidence timeline before opening a case
Start with the order reference, original international tracking reference and any destination-carrier number. Keep their relationship documented. A domestic label can be generated well before the delivery partner receives the parcel, so the newest number is not necessarily the best description of the current stage.
Open the official tracking portal for the relevant service. Check the complete history rather than only the summary shown by your store or a tracking aggregator. If the direct carrier record is newer, you may have an information-refresh problem; if neither record shows a new event, investigate the physical handoff.
Write down the event text, location, timestamp and timezone. Preserve a screenshot or exported history for the case file. Do not translate an ambiguous event into a more definite statement. “Data received” is different from a physical acceptance event, and an airport reference is not the customer's delivery location.
| Evidence | What it can establish | What to verify next |
|---|---|---|
| Label or electronic shipment data | A reference has been prepared | Whether the parcel left the warehouse |
| Parcel acceptance record | A named party recorded receiving it | Exact service and next scheduled stage |
| Dispatch or departure event | A recorded movement milestone | Destination and receiving-party acknowledgment |
| Clearance-related message | A customs-related stage or request exists | Whether action is required, and by whom |
| Destination-carrier acceptance | The local delivery network recorded receipt | Local delivery or exception details |
| Delivery confirmation | A delivery event was recorded | Delivery location if the buyer disputes receipt |
Some records refer to containers or shipment data rather than individual parcels. Ask what the event actually covers. A batch manifest is helpful supporting evidence, but its relationship to the specific parcel must be clear before using it to settle a possession question.
Diagnose label-only and first-scan problems
A label-only shipment needs a warehouse question before a transport investigation. Was the order released? Was it picked and packed? Did it miss a cutoff? Does the pickup record identify that parcel? Request these facts rather than asking generally why “tracking is broken.”
FedEx distinguishes label preparation from receipt of a package. USPS separates pre-shipment and partner processing from possession. Read the actual carrier's definitions. FedEx tracking status meanings, USPS tracking status help
If the warehouse says pickup occurred, ask for the pickup date, collecting company and parcel-level proof or reconciled pickup list. If that evidence is unavailable, leave the stage unconfirmed. A printed shipping label is not enough to close the warehouse task.
When the first carrier event is delayed, verify the number and the correct business unit. An express reference entered into an ecommerce portal, or an order number entered as a tracking number, may produce an empty result. Check for copied spaces and transcription errors without changing a valid identifier's format.
Agree the expected first-scan checkpoint for your particular handoff. Treat a missed checkpoint as a request to reconcile warehouse and carrier records. Avoid announcing that the parcel is already in transit unless the available evidence supports that statement.
Distinguish a scan gap from a missing handoff
Once acceptance is confirmed, tracking may still have periods without new events. DHL eCommerce explains that most shipments in the referenced portal use milestone tracking, so events are not a continuous location feed. Its FAQ also lists weather, customs and operational backlogs as possible delay causes. This describes that service context, not proof of the cause affecting your parcel. DHL eCommerce tracking FAQ
Ask two separate questions: “Is there a newer event that is not visible here?” and “Has the next receiving party accepted the parcel?” The first diagnoses a reporting gap; the second diagnoses a handoff gap. Either can require investigation, but they need different evidence.
For a cross-border handoff, request the dispatch reference, receiving partner, destination tracking number and latest acknowledgment. A partner number with no acceptance event may be entirely consistent with a parcel still in an earlier stage. It may also expose a missing transfer. The number alone cannot distinguish those possibilities.
Compare the parcel with the agreed checkpoint and other genuinely comparable shipments. If an entire dispatch batch has no new event, ask about a batch-level departure or data issue. If one parcel is missing while the batch has progressed, ask for parcel reconciliation. These are diagnostic directions, not conclusions about loss.
Keep one case record linking every reference, and ask the operator to reconcile conflicting records. Two identifiers do not necessarily represent two separate parcels.
Check customs claims against actual evidence
“It is in customs” should lead to an evidence request. Ask for the actual message, relevant arrival or clearance record, responsible broker or operator, and any document request. A long silence after a departure scan does not establish a customs hold.
For a customs-related exception, ask the booked carrier or responsible broker for the actual clearance message, document request and case owner. Use the process for that shipment type; a postal status and a commercial express entry are not interchangeable.
Separate a routine processing stage from a specific action request. If an invoice, recipient detail or product explanation is requested, identify who must supply it, the reference to quote and the response channel. Validate the request through the carrier or broker's known contact details before sending documents or payment.
Keep a clearance task log: request received, owner assigned, document submitted, acknowledgment received and next review. “We sent the invoice” is incomplete if nobody can confirm that it reached the correct case.
Use the true product description and shipment information. Do not guess a classification, invent a value or change documents simply to make the tracking screen progress. A corrections request should go to the responsible seller and clearance professional with the supporting product evidence.
A customs-related scan without a request can justify a status inquiry. It does not justify a guaranteed release date. Ask whether the operator needs action, whether the case is proceeding normally for the service, and when the next evidence check should occur.
Resolve delivery-stage exceptions
Once the local carrier confirms receipt, use its portal and support process for delivery details. Continue keeping the original shipping partner informed, especially if that partner must initiate an investigation under the service arrangement.
USPS lists address, access, pickup and delivery-confirmation exceptions with different instructions. Follow the actual status rather than treating every exception as an international delay. USPS tracking status help
For an address exception, compare the order address, released instruction and printed label. Determine where the mismatch entered the process. Ask the carrier what correction or return options remain; a store edit does not automatically modify the label on a parcel already in the delivery network.
For a pickup or delivery-attempt notice, identify the required action and deadline from the carrier. Send the buyer the verified notice details promptly. Do not supply a generic collection period, because applicable holding periods and redelivery options can differ.
For a recorded delivery the buyer cannot find, ask them to check the stated delivery location and appropriate building reception, household or parcel locker. Request the carrier's available delivery evidence through the proper process. Keep the buyer's report distinct from the carrier event while the discrepancy is unresolved.
Open the appropriate support case within the applicable deadlines. Keep the customer-resolution decision separate from reimbursement under the transport service terms.
Use a review threshold without inventing a carrier SLA
A team needs review triggers so cases do not drift indefinitely. The table below is a suggested merchant triage policy, not a BiaoJu or carrier service-level agreement, loss definition or claims eligibility schedule. Replace it where the booked service requires earlier action or provides a different process.
For this table, “business day” means your support team's Monday-to-Friday working day, excluding its holidays. It is not a universal carrier calendar. Start the clock from the specified evidence event, not from whichever timestamp is easiest to find.
| Situation | Suggested internal review trigger | First owner and question |
|---|---|---|
| Label only | Two support business days after confirmed order release, or a missed agreed pickup checkpoint | Warehouse: was this parcel physically collected? |
| Accepted, then no new event | Three support business days after the last confirmed physical event | Shipping operator: what is the next handoff evidence? |
| Clearance message without a request | Three support business days without a new event | Operator or broker: is action required? |
| Document, payment or address request | Review the same support business day | Assigned owner: what verified action and deadline apply? |
| Delivery attempt or pickup notice | Review the same support business day | Local carrier and buyer: what action prevents return? |
| Delivery round without an outcome | Review the next support business day | Local carrier: what does the current record establish? |
Escalate sooner if the customer window is about to expire, an official action deadline is shorter, or the operator confirms a serious exception. A review can produce “still awaiting verified movement,” accompanied by a next update time. It should not automatically produce “lost.”
When a case lacks an owner, escalate the ownership problem immediately. A parcel can remain unresolved because each party assumes someone else has opened the investigation. Require a case reference, responsible contact and next response checkpoint before treating the escalation as complete.
Copy an escalation packet and customer update
Give the responsible operator a packet that can be acted on without another round of basic questions. Share recipient details only through the appropriate support channel.

Frequently asked questions
Why has my tracking number not started working?
Check the identifier, official portal and actual handover evidence. The reference may be newly prepared, entered into the wrong service portal or awaiting a first physical event. Ask the shipper to reconcile those possibilities.
Does no tracking update mean the parcel is lost?
No. A scan gap is insufficient evidence. Compare the last confirmed event with the service's checkpoints and request the next handoff record. A loss conclusion requires the applicable investigation process and supporting evidence.
Can a US tracking number exist before the parcel arrives in the US?
Yes, a delivery label can be prepared before the domestic carrier receives the parcel. Verify the international reference and domestic acceptance separately; do not treat the existence of the US number as an arrival event.
Should I contact customs directly for an unchanged mail status?
Start with the shipper or postal operator and the actual clearance message. If the shipment needs customs action, use the responsible carrier or broker’s documented process and request a case reference. An unchanged public scan does not establish who currently controls the parcel.
When should I refund or replace an order?
Use your customer policy, applicable obligations and the verified case facts. Keep that decision separate from transport-claim eligibility and reimbursement. Do not let an unanswered carrier inquiry become an indefinite customer waiting period.
